View Student’s Academic Progress Report - Workday

The Academic Progress Report will replace the uAchieve degree audit for viewing your course and credit progress completed within a program of study. This report can be accessed anytime from the Academics app or your Profile.

From the Academics app:

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.
  2. Under the Academic Advising & Planning header, select View My Academic Progress.
  3. When the pop-up window appears, confirm your student name and 900# ID and click OK.
  4. This report first displays overall academic progress: total credits defined, credits in progress, credits satisfied, credits remaining, and overall academic status.
  5. Below, your overall academic progress will display your program of study, the major GPA, the effective date of the requirements, and the last evaluation date.
  6. The program of study breakdown will list all requirements, the status of each requirement (satisfied, in progress, or not satisfied), requirements remaining, courses registered, each course’s academic period, the number of credits of the courses, and the final grade for each course.
  7. If you have multiple programs of study, there will be a breakdown for each. Click the drop-down arrow next to the Program of Study name to collapse the data.
  8. This report can be exported to an Excel or pdf format.
  9. To Export to Excel, click the first small icon at the top right of the report (it looks like a sheet of paper with an x). When you hover over the icon, it will say ‘Export to Excel.’ Click the icon, and when the pop-up appears, click the Download button. The download will appear in your web browser downloads.
  10. To Export to PDF, click the second icon at the top right of the report (it looks like a PDF with a border around it). When you go over the icon, it will say, ‘View Printable Version- PDF.’ Click the icon, and when the pop-up appears, click the Download button.<
View Academic Progress Report -Workday

The Academic Progress Report in Workday will replace the uAchieve audit for monitoring your course and credit accomplishments within your program of study. Access it via the Academics app or your Profile.

From the Academics app:

  1. Go to the Academics app from the MENU at the top left of your Workday portal or from "Your Top Apps" on the homepage.
  2. Under the Academic Advising & Planning header, choose "View My Academic Progress."
  3. Verify your student name and 900# ID in the pop-up, then click "OK."

How to read the report:

  • The report showcases overall academic progress, detailing total and completed credits, credits in progress, and your academic status.
  • The Program of Study section includes major GPA, requirement effective dates, and the last evaluation date.
  • It lists all program requirements, their statuses (satisfied, in progress, not satisfied), remaining requirements, registered courses, academic periods, credit numbers, and final grades.
  • For multiple study programs, each has its own section. Collapse data using the dropdown arrow next to the Program of Study name.

Exporting the Report:

  • Export to Excel: Click the icon resembling a sheet with an 'x' (tooltip: 'Export to Excel'). In the pop-up, hit the "Download" button, and the file will appear in your browser downloads.
  • Export to PDF: Select the PDF icon (tooltip: 'View Printable Version- PDF'). Click "Download" in the pop-up, and the file will be in your browser downloads.

Note: If the Academic Progress report appears incorrect, contact your Advisor for a uAchieve audit verification.

Using the Academics App - Workday

The Academics App will be your one-stop shop for most common tasks!

Accessing the Academics App: Find the app on the Workday home page under "Your Top Apps" or via the "MENU" button at the top left. Here are some of the tasks you'll complete from the Academics app:

  • View Holds: Check your academic and registration holds.
  • Registration Actions: See actions needed for registration.
  • Registration Appointments: View upcoming registration slots.
  • Class Schedule: Access your current class timetable.
  • Advisor Contacts: Find and contact your advisor.
  • GPA Information: Check your cumulative and Program of Study GPAs.
  • Course Catalog: Browse the course offerings anytime.
  • Schedule Planning: Create a saved schedule for future courses.
  • Class Registration: Register for classes using "Find Course Sections."
  • Academic Progress: View your Academic Progress report and record.
  • Grades: Check your midterm and final grades.
  • Student Resources: Access forms and advisor info at the Student Resource Center.
  • COF Authorization: Request changes to COF Authorization.
  • Program Completion: Apply for completion of your program.
  • Unofficial Transcript: Generate an unofficial transcript.
  • Enrollment Verification: Produce a self-service Enrollment Verification.

View Student’s Program of Study, Academic Progress Report, and Registered Courses
  1. From the Workday home page, click on the "Search bar." Type "Student:" then the student's first and last name. Choose the correct name from the results that populate.
  2. You should now be viewing the student's profile. In the blue column on the left, select the "Academics" sections.
    1. The "Overview" tab from this section displays the student's declared program(s) of study, majors, minors, and certificates.
    2. Click on the "Current Courses" tab. This displays all courses the student is registered for in the current term.
    3. The "Plan" tab refers to a customizable education plan advisors can create with students. Not all students will have a plan at this time.
    4. The "Academic History" tab is the equivalent of viewing the student's unofficial transcript. You can see all the courses they have taken and their earned grades in chronological order. Each academic period can be collapsed to help view one year at a time for multiple years in the history.
    5. Click on the "Academic Progress" tab to view the student's Academic Progress Report, which will replace the uAchieve degree audit. The report compiles the status of the program of study and unmet requirements for the student to complete their program of study.
  3. The External Records tab shows test results and courses from other institutions attended. (ex. Advanced placement test scores, SAT scores, FLC placement scores, and completed transferred courses and credits from other institutions.
Look up a Student and View their Academic info using Find Academic Records

If you need to look up students in Workday under a program of study or can’t remember their exact name, you can utilize the Find Academic Records report. 

  1. From the Search bar at the top of your Workday portal, search “Find Academic Records” and select the report from the search results. 
  2. From the report, you can use the report search bar to type part of the name or utilize filters on the left side of the list to find a student based on their Academic Unit, Primary Program of Study, Academic Level, or Academic Record Status. (For example, I need to find a student in my engineering class, but I can’t remember their exact name. I can use this report to filter the results by the Engineering primary program of study). 
  3. When the correct result appears, select the student’s name in blue to drill into their profile.  
  4. You can save search results by clicking Save under Current Search.
Exceptions to FERPA privacy

There are exceptions under which Fort Lewis College may disclose information from a student's education record without their consent that include, but may not be limited to, the following:

  • A school official with a legitimate educational interest
  • Anyone in response to a request for directory information
  • A parent or legal guardian who claimed the student as a dependent on their most recent federal income tax return (the parent or legal guardian requesting access must provide a copy of their previous year's federal income tax return to Fort Lewis College as evidence)
  • Parents/legal guardians when their child/dependent under age 21 has violated the alcohol or drug policies of Fort Lewis College
  • US Immigration and Customs Enforcement for the purpose of reporting F (academic) non-immigrant visa holder information for the Student Exchange Visitor Information System (SEVIS), as required by the Student Exchange and Visitor Program (SEVP).
    • Fort Lewis College is required to report certain information about students with F visas to Immigration and Customs Enforcement which is used by the Department of State and the Student Exchange Visitor Program (SEVP) to monitor participating institutions and students.
  • An accrediting organization acting in their accrediting capacity
  • Officials at another school in which the student is seeking to enroll
  • Certain federal, state, and local authorities for audits or evaluations of state-or federally-supported educational programs
  • Persons or organizations granting financial aid to the student (does not include any payment made by the student's parent(s) or legal guardian(s); other restrictions apply)
  • Third-party agents acting on behalf of Fort Lewis College
  • Persons or organizations conducting studies on behalf of Fort Lewis College
  • State or federal law enforcement in response to a court order or subpoena after a reasonable attempt to notify the student was made.
  • Appropriate parties in the event of a health or safety emergency
  • Recruiters from the US Military who request “Student Recruiting Information” (defined as name, address, telephone listing, age, level of education, and major)
  • The Internal Revenue Service in compliance with the Taxpayer Relief Act
  • The Department of Veterans Affairs regarding students receiving VA benefits
  • The Attorney General of the United States (or designee) in compliance with an ex parte order under the authority of the USA Patriot Act
  • The alleged victim of a crime of violence (including but not limited to sexual offenses) in accordance with the victim's right to know the outcome of the alleged perpetrator's disciplinary hearing pertaining to that crime.
Registration Step 1: Search for Classes - Workday

Course Sections will not be published in Workday for the Fall 2024 Semester until March 25.  

  • To view the course catalog, select View Course Catalog at FLC, located in the Academics app in the MENU on the top left of your Workday portal.
  • This report is under the Academic Advising & Planning section and has filtering options for your browsing needs. You cannot register for classes from this report, but you can see all courses offered at FLC without being bound by a specific semester.  
  • If you want to view classes to build a saved schedule before registering or want to register for courses, access Find Course Sections in the Academics App.   

Watch how to search for courses to register for from Find Course Sections:

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.   
  2. Under the Registration section, select Find Course Sections.  
  3. In the Start Date Within field, type the term and year you would like to browse and click enter to select from the search results (e.g., “Spring 2024”).  
  4. In the Academic Level field, select the academic level type you would like to see (Graduate, Remedial, or Undergraduate)  
  5. Leave the Campus Locations field blank. Click OK.  
  6. Browse courses using the search bar, the filters on the left side, or scrolling through the complete list.
  7. Select the course section name in blue to drill into the course details.   
Student Directory - Workday

Staff, faculty, and students can search for students on Workday using the Public Student Directory report. This directory is only viewable in Workday, so only individuals with a Workday account can access this information. 

  1. From the search bar at the top of the Workday portal, type “Public Student Directory” and select the report from the search results.
  2. From the report, individuals can search for any student using the search bar or available filters on the left column, and view certain information that you choose to disclose from your privacy settings. Based upon your selection under Manage Your Privacy settings, others may be able to view the following:
    • Primary Institutional Address
    • Primary Institutional Phone Number
    • Primary Institutional email address
    • Date of Birth
    • Academic Level
    • Class Standing
    • Academic Unit
    • Primary Program of Study
    • Expected Graduation Date
    • Athletic Team
  3. You can update what you would like others to see anytime from Manage My Privacy Settings, found from your search bar.

Notes:

  • Advisors, Skyhawk Station, Financial Aid, and other student-serving staff or faculty roles may be able to view more of your academic or financial information than listed.
  • If you change your privacy settings in Workday to “I don’t want my directory information to be public”, you will not appear in this directory. Course rosters in Canvas will display your name as {(Last Name) “Private, (First Name) “Private”).
View Course Catalog - Workday
  • To view all courses offered by FLC, click View Course Catalog at FLC, located in the Academics app in the MENU of the top left of your Workday portal. This report is under the Academic Advising & Planning section and has filtering options for your browsing needs. You cannot register for classes from this report, but you can see all courses offered at FLC without being bound by a particular semester.
  • If you want to view classes to build a saved schedule before registering or wish to register for a specific term, access Find Course Sections under the Registration header in the right column of the Academics App.

Course Sections will not be published for the Fall 2024 Semester until March 25.

Registration Step 4: Register for a Single Course Section - Workday

Registration will be completed in Workday beginning in the Fall 2024 semester registration period! Summer session registration should be completed in WebOPUS.

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.
  2. Under the Registration section, click Find Course Sections. (The name of this report will update to reflect the current registration term: Find Fall Course Sections, Find Spring Course Sections, or Find Summer Course Sections)
  3. Browse courses using the search bar, the filters on the left side, or scrolling through the complete list. Select the course section name in blue to drill into the course details.
  4. When you select a course section you would like to take, click the Register button. (*Note: This button will only appear during open registration periods)
  5. Review the session times and course section selection one more time.
  6. Select Register, then Done.

Registering without a saved schedule will require you to filter your course sections report for every course section you look up. To register for all your planned course sections in one go, create a saved schedule and register from that collection using the instructions above.

Register for a Waitlisted Course - Workday

When creating a saved schedule or registering from Find Course Sections, the meeting times of a course section will display a negative number of seats available. You can still proceed, but you will be put on the waitlist if others register to drop the course. 

  1. Navigate to the Academics app from the top left MENU in your Workday portal or Your Top Apps on the Workday homepage.   
  2. Under the Registration section, click Find Course Sections. (The name of this report will update to reflect the current registration term: Find Fall Course Sections, Find Spring Course Sections or Find Summer Course Sections) 
  3. Browse courses using the search bar, the filters on the left side, or scrolling through the complete list. Select the course section name in blue to drill into the course details.   
  4. When you select a course section you would like to take, click the Register button. (*Note: This button will only appear during open registration periods)  
  5. Review the session times and course section selection one more time. Note that the Seats Available column will be either 0 or a negative number if others are on the waitlist.  
  6. Click Register, then Done.   
  7. Go back to the Academics app and select View My Courses from the Academic Records header on the list of tasks on the right to view full details of the registered course schedule.  
  8. The table in View My Courses will show your spot on the waitlist.  
  9. Check back often to see if your spot moves up.  

Registration Step 2: Create a Saved Schedule for Registration - Workday

For Fall 2024, use Workday for registration; use WebOPUS for the Summer session.

  1. Access Academics App: Open the "Academics app" from the "MENU" or "Your Top Apps" on the Workday homepage.
  2. Find Courses: In Registration, select "Find Course Sections."
  3. Browse Courses: Search, filter, or scroll to view courses. Click the blue course section name for details. (The name of this report will be updated to reflect the current registration term: Find Fall Course Sections, Find Spring Course Sections, or Find Summer Course Sections) 
  4. Add to Schedule: For a desired course, click "Add to Saved Schedule."
  5. Manage Schedule: If you don't have one in "Saved Schedule," click "Create Student Registration Saved Schedule," name it, and save. If you have one, select it from the list.
  6. Choose Times: Click "Choose Times" for preferred meeting times and confirm with "OK."
  7. Add More Courses: Use "Add Course Sections" to find more courses or "Done" to finish browsing.
  8. Update Schedule: New courses will automatically join your current saved schedule.

Important note: Courses added to your saved schedule are not final until you register. To complete registration, select "Register" from View My Saved Schedules.

Navigate Profile - Workday

Navigate and manage your information within the Workday portal.

  • Access Your Profile: Navigate to your profile by clicking the "person icon" (or photo) at the top right of your Workday portal. Click the "View Profile" button.
  • Profile Sections: On the left side, you'll find different sections in the blue area. Click on each section to explore further. Use the "Tabs" in each section to access more detailed information.
  • Important sections and features:
    • Actions: Use the "Actions" button for direct links to update your Medicare data, profile photo, legal name, or preferred name.
    • Summary: This is an overview page that includes basic student info, residency status, housing assignments, account activity, and work-study details (if applicable).
    • Personal: Edit personal details, including preferred name, pronouns, gender identity, access IDs, housing, and residency information through the tabs.
    • Contact: Check and modify your address and phone number.
    • Academics: See your program details, current classes, academic history, progress, and transfer records.
    • Student Financials: Look at your Transaction Summary for current term dues and specific "Due Now" information.
    • Action Items and Holds: Monitor required actions for Financial Aid, Admissions, or work-study onboarding, and view any active or resolved holds on your academic record.
How To View FLC Course Catalog and All Course Sections in Workday
  1. Log in to Workday and search "Advisor Dashboard" in the "Search" bar. Select "Advisor Dashboard" from the results that populate
    1. The Advisor Dashboard houses the "View Course Catalog at FLC report" Under the Advisor Reports header on the right side of the dashboard. This report displays all courses offered without academic period parameters. There are many filtering options and a search bar to browse course sections.
    2. The Advisor Dashboard also includes the report "Find Course Section Definitions- Updated Facets." This report displays both published and unpublished courses. You can see unpublished courses by filtering the report by Section Status on the left and selecting "Preliminary" status.  
How To Set Search Bar to Prioritize Student Results

If you frequently need to look up students in Workday, you can configure your search results in Workday to bring students up before other result categories.

  1. Type anything in the "Search bar" at the top of your Workday portal and click enter (ex. "Student"). Do not select a result. This will bring you to a full "Search Results" page.
  2. On the bottom left of the page, click "Configure Search."
  3. Drag and drop search categories to the Saved Categories at the top to prioritize what results you would like to see first when you use the search bar. The first category will appear and descend in priority with additional Saved Categories. To prioritize student names, drag the "Student "category up to Saved Categories in the order you would like to see it. (For example, set your Saved Categories to People results first, Tasks and Reports, then Student.)
  4. Click "Save" when done.
